01:04
Hello everyone, the training will begin at 12:00pm EST

05:07
Yes I can hear you

05:22
We will begin at 12:00pm EST

05:32
Thanks!

05:50
Should I used headphones?

10:22
Is the sound on?

12:12
Is this moderator training or speaker/presenter training?

12:24
Good question...

12:28
yes

12:32
Is this for speakers?

12:34
Sorry I have the topic for today to be “speaker/presenter training”. Has this been rescheduled?

12:35
+1 to that

12:37
I thought it was speaker presenter training

12:38
I thought this was presenter training

12:40
Yeah, I came here for speaker training

12:45
agreed

12:45
^

12:50
^^

12:56
Is this for speakers/presenters?

12:59
Should someone speak up?

13:01
Same question here

13:05
same here, was advertised as speaker training

13:05
Yeah I thought this was for speakers and presenters?

13:18
Thanks Jen!

13:21
Thanks, Jen!

13:26
Thank you, Jen!

13:28
Thanks Jen!

13:36
What if we cant use the desktop app?

13:37
NWS employees cannot run the Zoom desktop app

14:39
NOAA employees have to join via browser

14:53
Correct, NOAA devices need to click the join from browser

15:15
this is the app: https://ams.confex.com/ams/102ANNUAL/meetingapp.cgi/

15:23
But I thought the presenter said we can't join from the browser. Clarify please.

15:42
you can join from browser

15:43
We discussed this yesterday in the session chair training too and we think joining from browser will still be okay. Maybe try to test your screen sharing in the speaker support area before your presentation

15:44
Presenter said "I would avoid clicking" and not "you cannot click"

16:13
it would be nice for a consistant message...

16:14
Hey Christina! Thanks for clarifying. It went tooo fast for me :-)

16:29
quick note on screen share if you are using zoom web client (browser): Screen sharing on Microsoft Edge requires Windows 10 Pro or Enterprise. It is not supported on Windows 10 Home. If you are running Windows 10 Home and need to share your screen, we recommend using Chrome or Firefox.Screen sharing is not supported on Safari.

17:07
How do we get to the web site being shown from the main AMS meeting site?

17:29
I'm in NOAA / NWS and cannot install the Zoom client and am limited to browser version. In training classes using Zoom, I've found some of the functionality that the instructors used (using attachments for example) do not function in the browser. Can we ensure all moderators etc are aware of browswer limitations and do not assume speakers will have the full app functionality?

17:35
@chris https://ams.confex.com/ams/102ANNUAL/meetingapp.cgi/Home/0

18:21
@tim we covered the limitations (found here) on our session chair/moderator training https://support.zoom.us/hc/en-us/articles/360027397692#note

20:24
How do you find out if our time of presentation has changed now that we have gone virtual. Not seeing my talk showing up at the designated time.

20:40
Thanks Jen!

20:42
If questions are asked in the meeting app but we’re using Zoom to present, how will we see the questions?

20:48
Sorry - I missed this (came a few minutes late): when and how are the presenter zoom links available (vs. attendance zoom link).

21:00
Is the registration ID the same as the confirmation number of the registration

21:11
Thanks @Jen. It looks like I navigate there from the main site by clicking on “Program and Events”, then “View the Program”.

21:32
https://ams.confex.com/ams/102ANNUAL/meetingapp.cgi/Home/0

22:05
@Jane - the conference program has not changed since becoming fully remote. Please reach out to meetings@ametsoc.org and we will assist you with locating your presentation's scheduled date/time.

22:32
Can the moderator play a pre-recorded presentattion rather than presnting live, in case tech issue come up?

22:32
Deadline to upload PowerPoint slides for live virtual presentation?

22:52
@mark - yes

23:02
@Illene - during the live session, Zoom chat will be used for questions. Questions asked outside of the live session via the meeting app will be sent to the presenter's email address

23:08
We are not going to get a designated zoom link per session? as we suppose to login 20 min before?

23:12
@Imme, the links are the same this year. The system knows whether you are a speaker or audience member. If you are a speaker or session chair it will let you in 30 minutes early. Audience members will be placed in a waiting room and let in when the session goes live.

23:12
So as long as we are signed in, we should be good?

23:15
The registration ID is the confirmation number, right?

23:41
@waylon - there is no deadline to upload powerpoints as speakers will share their screen and present their powerpoints from their own device

23:52
Registration ID = confirmation number - yes

23:56
How do I upload my presentation - my PP file?

24:14
@Imme - the Zoom links will be accessible for both presenters and attendees directly in the online program and mobile app. Presenters will be able to join the zooms 30 minutes prior to the start of the session

24:33
For presentation or registration specific questions, please contact AMS Meetings at meetings@ametsoc.org.

24:37
please mute if you are not talking

24:42
It is called your "registration confirmation number" at the bottom of your registration confirmation email

25:04
So we are good as long as we’re signed in?

25:06
The confirmation number is displayed on the registration invoice as well

25:09
@Mark, yes! The moderator is able to play a pre-recorded presentation

25:09
It says I’m signed in.

25:34
What happens if there are two presenters? Do they use 2 different accounts or do they have to use the same one?

25:34
Just to confirm, which time zone should I set under “My Time”?

25:45
What if someone/ organization else registered me? My email is not coming up either.... When I tried to logon it says not found

25:48
please mute !!!

25:53
Is there a deadline to upload a recorded presentation?

25:54
If the meeting is on, can I still test my presentation (sound, share window, etc)?

26:00
deadline for uploading pre-recorded is Jan 12 - can this be extended?

26:03
Can I still upload my pre-recorded presentation? Instead of live presenting?

26:16
the deadline for prerecorded is tomorrow

26:20
The subject of the email w my confirmation # is: AMS Registration Confirmation and Receipt, if that helps.

26:25
Thank you!

26:26
Is there a preferred browser to use for the app?

26:53
Is it recommended to prerecord as a backup plan in case of technical difficulties?

27:10
and if you are prerecording, you should alert your session moderator/chair

27:28
Hopefully this is the right section to ask here: in the case of Confex access issues (like last year's load issues) and we can't get to our session's Zoom link from Confex, who should we reach out to for last-second support to gain access to our session?

27:52
@Hastings - please reach out to meetings@ametsoc.org and we will assist you with this. Thanks!

28:33
Since AMS is now 100% virtual, the dead line for uploading pre-recording needs to be adjusted as well to give us enough time with the changes.

28:55
@Henok. 100% agree

28:56
@Karin - each live session's zoom will be accessed through the online program and mobile app. We encourage all presenters to join 30 minutes prior to the session's scheduled start time

28:57
the recording is optional

29:08
I agree and support @Henok

29:11
does not appear that these testing capabilities exist on the web browser

29:19
I agree with @Henok

29:28
Regarding the pre-recorded video upload, I find some techincal difficulties. The upload file button is no longer visible.

29:32
@Jonathan - you can chat/report to the Info Desk, through the widget on the online program - but we will have emails teed up with zoom links that will be sent in case of technical difficulties

29:33
Can you confirm presenter time, are we allotted 30 mins or 15 mins to present?

29:52
Barry - Jen Ives chatted some info on the browsers earlier indicating if you have to screen share you'll probably need to use Chrome or Firefox.

30:26
@Jonathan - please reach out to AMS staff through the Information Desk or request technical support. Both of these can be located in the left hand navigation panel within the online program. You are also able to reach out to meetings@ametsoc.org

30:47
the deadline to optional pre-recorded videos has been extended to Friday, 14 January. After this time, AMS cannot facilitate the collection/sharing of these files so we suggest you send pre-records directly to your session chair so that they can show your screen.

30:56
Are virtual backgrounds required?

31:01
Thanks Danielle. I was able to login fine on Edge but Chrome froze. I’ll be using Safari when in session (via Zoom on my Mac) but when not in session will probably be on PC.

31:16
Students are still meeting in person. I will be speaking in person for the students and hope it will be presented in my normal Tuesday time. Is anyway here presenting at both?

31:16
@Jenny - virtual backgrounds are not required

31:32
Is there a unique background available for a session? Who decides this?

31:37
Could you make this presentation available online later?

31:39
Who should we send prerecorded video?

31:49
Barry - Heads up, she specifically mentioned screen sharing will not work on safari, so keep that in mind if you're presenting.

32:03
@Keneshia - presenters will receive a 15 minutes to present unless otherwise scheduled

32:12
go to presenter corner. the link was mentioned in the speaker information email

32:38
I assume the 15 minutes includes the time for questions. Is that right?

32:44
Hopefully this Q&A transcript here in the chat can be summarized and posted in a FAQ for the meeting on the AMS website. I can't keep up with this.

33:11
Yes, documentation would be very helpful!

33:15
It is not clear how to get the presenter corner when you sign in to the conference website. Can you do a demo of how to get to the Presenter Corner?

33:18
Will the papers be published?

33:30
We can only see a white screen on your presentation.

33:36
@Joey - each presenter will be able to access the live session's zoom. They will not have to share an account to join the session's zoom.

33:50
@jeff - yes this transcript will be posted, along with the recording on the presenter info page (which will also be updated with these faq) https://annual.ametsoc.org/index.cfm/2022/your-annual/hybrid-meeting-details/remote-oral-presenters/

33:52
Is video required while presenting? Can we only keep audio and keep focus on the presentation ?

34:16
Could you please share the name where we can find all these..

34:30
Can the AMS send a sequence of instructions to make a online presentation?, I joined a this meeting bit late, sorry

34:37
Yes, the 15 minutes includes time for questions

34:46
Do the moderators of a session have to find their speakers for the session and change the speakers to moderator privileges? Or is it default for their session that they are presenting in?

35:21
Who and how can we contact if we have an issue reviewing this process to get ready to present?

36:15
Will this recording be sent to us for our convenience?

36:21
AMS mentioned to have presentations in pptx format. Since it is now virtual, can we use google slides for our live presentation?

36:34
how do we find our moderator?

36:34
@Tennessee - yes, this includes time for questions

36:48
@Frank Presenter's Corner is separate from this platform. If you are looking to upload documents/prerecorded content use this website: https://ams.confex.com/ams/102ANNUAL/gateway.cgi

37:16
Will the recording of this webinar be available for review?

37:23
Is it ok to upload a pre-loaded version, and also provide a few update slides/words in the live session to be more conversational?. Are both documents stored with the speaker?

37:39
@Quazi - video is not required. This can be determined at the presenter's discretion

37:45
@Rubi your moderators will be listed as Session Chairs in the program or as a Moderator if it is a Panel Discussion.

37:49
Excellent Thanks this great

38:12
Can you send the tips and tricks link again?

38:25
My talk is on the afternoon session of January 27. I was wondering how would I be able to interact with people on my work, given the last session of the conference.

38:33
I have already uploaded a presentation can I replace the presentation before the 14th?

38:35
@Christina, moderators/session chairs and speakers will all enter the zoom session with moderator privileges

38:49
https://annual.ametsoc.org/index.cfm/2022/your-annual/hybrid-meeting-details/remote-oral-presenters/

38:50
@Jen: you mentioned that recordings of talks can be uploaded by Friday, Jan 14: just want to confirm that date. The most recent email I've seen had January 12 as the deadline for uploading a recording. Thanks!

38:57
Did you share the AMS background we can download and use?

38:57
@Carlos - please reach out to AMS Meeting at meetings@ametsoc.org

39:28
Speakers have 15 minutes to present? How much time for the talk vs. Q&A?

39:29
@Ayman - yes this recording will be made available after the training

39:38
Is it possible to give presenter some time to try sharing screen, sound etc besides the 30mins before presentation?

40:02
@Rubi - you are able to find your session chair(s) in the online program https://ams.confex.com/ams/102ANNUAL/meetingapp.cgi

40:11
@Marissa Thanks for the link.

40:22
The instructions suggest not to use Powerpoint for your prerecorded presentation becasue of poor sound quality. This actually worked well at AGU. Can we use Powerpoint for this? IS there a hard restriction on 200 mb ?

40:42
@B We recommend about 10-12 minutes for presenting and the remaining time for Q&A and transition to the next speaker

41:15
The deadline to upload a recorded presentation is listed as Wednesday, January 12th on the AMS website, but a presenter today said Friday, January 14th is the deadline. Can we get clarification on this? Thanks

41:33
@Gary Yes, you can use PowerPoint. You will be unable to upload if the file is larger than 200mb

41:35
@Kathy-Ann - yes, you can replace your file before the 14th

41:41
Previous meetings had pre-recorded videos that were well over the time limit - will session chairs simply stop the videos when time is reached to stay on schedule?

42:12
@Heather The deadline was switched to the 14th day. we will get the website updates ASAP. thanks!

42:12
Are videos viewable only during the session? Or before?

42:14
@Heather - the deadline has been extended to 14 January. We will ensure to update the website to reflect this. I apologize for the confusion!

42:43
@Marie - pre-recorded presentation files will only be viewed during the live session

42:52
Please clarify who is responsible for playing a pre-recorded video that has been provided ahead of time in each session. Thanks.

42:55
@Marissa Thanks! This is the website that has the incorrect deadline https://annual.ametsoc.org/index.cfm/2022/your-annual/hybrid-meeting-details/remote-oral-presenters/

43:10
How do we get emails/contact info of moderators to tell them we want them, to run pre-recorded video?

44:00
Is there a way to test things out more than 30 minutes before my talk? I would like to hear the other people who are giving talks in my session.

44:03
can you send us the Power point of the presentation that you are doing right now?

44:25
Ditto, can we get the slides?

44:36
Samer question

44:47
I uploaded my recording before Christmas. But I cannot see it my account anymore.

45:05
@Dave - the session chairs or student assistants will play the pre-recorded presentations. If the presenter is in the live session, they are also able to play the presentation file

45:30
Thanks Cati. :)

45:38
@lax please contact meetings@ametsoc.org and we can check on this for you

45:39
@Mark - the session chair(s)/moderator information can be found in the online program: https://ams.confex.com/ams/102ANNUAL/meetingapp.cgi

45:40

46:08
Thanks Marissa, Sure will do.

46:17
@Ian - please reach out to meetings@ametsoc.org and we will assist you with locating your uploaded file

46:20
Thanks Cali and just confirming - 12 minutes correct?

47:35
Do we need to send the PPT presentation before the date of presentation? if so, to whom?, when?

48:15
@Kathy-Ann - if you intend to attend the live session, we recommend 10-12 minutes for presenting and the remaining time for Q&A and transition to the next speaker

49:17
@Josemarengo - You do not need to send the presentation files prior to the scheduled session unless you intend to present via pre-recorded presentation file

49:29
Ok, thanks

49:46
For the papers that will be published, when and how shall we send them ?

49:52

52:18

53:47
Is the presenter’s webpage the convex link?

53:50

53:55
In an email, it was indicated that we had to have recordings submitted by tomorrow, the 12th, is the actual due date Friday the 14th?

54:08
we are not allowed to download outside software to our work laptops so we cannot use the suggest software to create our pre-recorded videos. any suggestions on how to reduce size of file when using power point?

54:11
Can session chairs check to see how many videos have been uploaded?

54:12
