Does anyone on the webinar have any recommendations for a platform that allows for a virtual exhibit hall?
Aubrey Albrecht

The tech support was via phone or email.

From Miki: I was sent this virtual exhibit hall example by a colleague - not sure what platform they are using but could reach out to ask. https://www.acoexhibithall.com/

To send a chat to all attendees on the webinar make sure the “To” has “All panelists and attendees” - thanks everyone for your comments and questions
Ashleigh Esselman

Miki - I would be interested in the platform for that link if you would be able to find out?
Miki
41:32
When I find out the vendor I will share with AN staff to share.

Leah - what platform are you using for virtual?
JenniferCarlson
44:01
one of our clients has a mid-June event but force majeure doesn't apply, so they're struggling to decide

Our small fall regional events (<100) we are going forward with planning an in person plan and a virtual plan B.

Ashleigh Esselman 11:22 AMFor the event that Janel referenced in Montreal, what platform is that going to be on as virtual event?
Sarah Ruzek - Associations North
45:30
From Jaclyn - we are currently deciding whether to postpone an event or move it to a web-based platform, but the issue we fear is that if we postpone an event to the fall/winter we will run into is the heavy event scheduling/overlap during this time. Have any of you taken this into consideration when deciding how to move forward with your events in the upcoming months? Are others worried about finding a time to reschedule this Fall?
Leah Sweet
45:36
@Sarah - for one group - Zoom. For another group - their events/CEUs are handled through industry reps who are using their own technology.
Sarah Ruzek - Associations North
45:58
Janel’s group is most likely using Zoom but also working with Attendee Interactive and their audio visual partners to see if they can integrate their platform for a virtual trade show.
Jenny Prosser
46:09
For all our in person meetings that are taking place this summer and after - we are going ahead and planning for live but will also plan with a lense to make virtual if needed.
Leah Sweet
46:38
Two groups are still deciding...
John Gann
48:25
The availability of attendees for an event postponed until this fall or winter is a concern, especially given how much work is currently being deferred until the pandemic allows them to complete that work.
Rachel Thompson
49:56
Planners: are you still planning on future year events that haven't selected locations or are you focused on trying to navigate 2020 events at this time?
Jenny Prosser
51:11
For our larger events - we usually book 2-3 years out so already have a few booked for 2021 and 2022.
Ashleigh Esselman
51:43
Our larger programs have already contracted out to 2021 and some for 2022.

I think we will consider including more virtual options for all conferences since we are now having to learn online. It will be a norm by the end of this crisis.
Jenny Prosser
51:58
For 2021 contracts - make sure a lowest rate clause is in your contract. Once this is all over, it will be a planner market and room rates will be much lower.
JoAnn Taie
52:07
It might be worth checking with your abstract submission company (if you use one) to see if they can convert your scientific posters into e-Posters. Attendee Interactive has this capability and allows for individuals to post messages to the poster author and interact virtually. We are looking to expand on this and schedule this feature into our virtual conference that was to be held in Montreal.
JoAnn Taie
52:39
Our international client has booked through 2024 -- we rescheduled our 2020 meeting that was to be in Montreal for 2023.
JoAnn Taie
57:13
What attorneys do you use to review your contract?
Sarah Ruzek - Associations North
01:00:08
Greg - feel free to ask all attendees this question as well via chat, just change the “To” to all panelists and attendees
Greg McCurry

Is anyone having vendor members pay you for the opportunity to speak on a webinar or online training or transfer sponsorship dollars to an opportunity to speak?
Sarah Ruzek - Associations North

Please raise your hand if you’d like to ask a question live (make sure your sound is accessible)
