20:47
what does the enrolled seq used for?
Katrina Smith
22:01
I don't understand what she means by "Purpose 1 and Purpose 2". Is that a term?
pmelcher
22:28
We set up our academic plans differently, prog requirements, electives, etc. We use enrolled seq to help tell the student which year/term we suggest the class be taken in
Andrew Dell
22:30
Like 'General Ed' Requirement or "Humanities" Requirement
Wyatt Best
23:38
MCNY has 8 "purposes" which align with the 8 terms in a 4-year degree.
LaMica Justice
24:06
You have all of them to be included in curriculum GPA?
KM080351
25:23
so if the minimum requirements are 12 credits but there are enough courses to fulfill 15 credits in a particular "purpose" list and lets say a few courses are listed as not required will it pick the first courses that fulfill that particular bucket and call it complete?
KM080351
27:45
yes that makes sense
Raquel Munoz
27:48
yes makes sense
Carole W
29:09
Doesn't have to be semester though - can just be the category or group such as "Major Electives"
Ryan Brown
29:38
we were advised to have terms listed in Disciplines instead
KM080351
31:34
ok thanks
Natalie
33:37
Can a course meet a requirement in more than one discipline?
Katrina Smith
34:52
You have to mark Matriculate on every year and term in the academic tab?
joanna
35:15
yes you can set it up to be counted in more than one place. We do not do so at our institution.
NCMC
35:29
Once the matric info is on a record it rolls forward. They just had them unchecked.
edurranc
35:36
You only have to do it the first year they matric. It will roll up every following year.
Natalie
36:52
Joanna, do you know where this is set up at?
KM080351
37:26
what about substitutions for a particular program? is there a way to make the change for a particular student, or do you have to create an entirely new academic plan for someone taking a different course?
LaMica Justice
37:45
You can have substitutions
joanna
37:53
we will show subs hopefully in a moment
NCMC
38:01
Yes, you can customize by individual student.
KM080351
38:01
ok great, thanks!
Natalie
38:02
Also, is there already a report to show which students academic plan is almost complete? Like 80% complete for example?
Aaron Kryger
41:04
You can't have two degrees on the same transcript sequence?
Natalie
41:24
We do Aaron.
Aaron Kryger
41:42
Thanks, I thought we did as well.
joanna
42:18
we have associates and bachelors on one. Each graduate program gets a new sequence.
nthompson
43:37
If there is time, I would be interested in seeing how one course can be double counted.
joanna
44:34
Natalie and Aaron do you have graduate and undergraduate on the same sequence?
Ryan Brown
44:41
I'm curious about wildcards, especially for something like electives, when anything within a group of course codes fulfills a particular requirement. Can you use a wildcard, or do you have to list every possible course?
Natalie
44:42
I would also. We are needing that set up by fall so it would be very helpful to see how it can be counted twice and not double credits on the transcript.
Leanne
44:49
Can two courses count for one? Such as a 1 credit and 2 credit course count for a 3 credit course?
Natalie
45:49
Joanne - we only have undergrads at our institution.
Leanne
46:13
How do you remove the 3 credit?
Natalie
46:23
Ryan - yes we use wild cards.
LeeAnn
48:07
Will the program recognize a duplicate course in the same term and include credits?
abby mccarthy
48:08
if an academic plan is changed and the change isn't grandfathered in - as in, course X is removed from all student plans effective immediately and replaced by course Z. can that be globally applied to all existing plans?
Andrew Dell
48:34
Can you set rules based on the Section Level Gen Ed field to help the courses count for one section or another of the Academic Plan, or does that still need to be statically configured on the plan?
Wyatt Best
49:07
@abby, I don't think so. We've had that scenario before and IT (i.e. me) had to use SQL to do it.
Andrew Dell
49:45
Second question - How does this system manage where a course is counted if it fulfils a requirement for more than one "Purpose"
abby mccarthy
50:21
@wyatt thank you
NCMC
50:55
The course is counted in the first occurrence in the plan.
abby mccarthy
51:13
who manages the individual student changes at your institution? IT? academic advisors? what is the workload like for that type of activity?
Natalie
51:32
How do we get it to fulfill the requirement for the second purpose, without double the credits on the transcript?
Michael Steinmetz
51:38
Do students see these reports in the self service portal?
Andrew Dell
51:53
@NCMC Thanks - I take it we could still adjust and customize the plan if it conflicts with a rule?
NCMC
51:57
The Registrar's office manages all functions of the academic plan
Natalie
52:09
not transcript - I mean the academic plan is where it counts the credits twice.
NCMC
52:21
@Andrew Dell. Correct.
Andrew Dell
52:51
@NCMC - Thanks
Katrina Smith
53:07
Did this question get answered? Do students see these reports in the self service portal?
Wyatt Best
53:33
@Katrina, yes, students can see it in Self-Service.
NCMC
53:52
@Natalie - do you mean you would allow one course to fulfill degree requirements in two areas? or that it is an option in two area?
Natalie
54:27
One course to fulfill degree requirements in two areas!
KM080351
54:38
@NCMC we have the same question here. we have courses that could fulfill degree requirements in two different areas
NCMC
54:38
We dpm
NCMC
54:43
We dpm
NCMC
55:22
We don't allow one course to meet the requirement in two areas.
Natalie
55:34
Does anyone know how to set this up?
KM080351
55:43
yes that would be helpful
NCMC
56:17
You can manually customize it that way, but I don't know a way to make it automatic.
Natalie
56:27
It's going to be for everyone in an Associates degree. So it will be a lot of students. That would be very helpful!
KM080351
59:26
is there a way to show that a student has completed an associates degree compact or is that part of the customization?
NCMC
01:04:00
@KM080351 - We also have courses that could fulfill requirements in different areas. You would just add the course to each area. When the student completes the course, it counts in the first occurrence of the plan. If that area is full, then it defaults to the next available opening.
abristol
01:08:36
Are there any bugs in this function that you are aware of?
Michael Steinmetz
