Topic: How is everyone accomplishing virtual counseling?
Amy Kuzniar, PreK-5, Detroit Public School Community District
Ryan Kay Beer Middle School in Warren
Tameka Gaddis, Lincoln high school, Warren
Are all schools in Michigan adopted a specific counseling platform?
Orelia Brown Burrows, K-8, Detroit Public Schools Community District
Krista Schatzle-Columbia School District (Upper Em
Google Forms for check in and Google Hangout for chatting GMail and Google Classroom for personal convo
I have also started a list of our students without internet or computers to try to assist with that
That makes sense
TOPIC: Emergency/Crisis planning
So will the districts each decide on a counseling platform for counselors and will we be trained on it?
Our district has been working with local providers to get internet access for those who don’t have it
We also have done a google form to check in
Are districts using informed consent forms for virtual counseling?
9th Battle Creek- I have sent out a needs assessment for my students as well as weekly newletters but very little engagement I got less than 10% responses to the needs assessement. Admin did a phone survey and only 51% of people who participated in the survey reported having internet access or devices at home. My staff has a lot of goog ideas to go virtual but the need is still there.
Our district ordered hotspots to deliver to families who need it
putting together a virtual career day, email/google hangouts for students, everfi lessons, adding lessons to Google Classroom, checking in on students, partnering with local CMH to provide parent support groups,
We used a google form to survey students for internet access & Then our teachers have been logging all contact with students by grades. Those students who were not flagged with contact, the counseling dept has been contacting to learn more. Our tech director has extended wifi into the entire school parking lot.
my staff is amazing and has helped me call every single high school student to check in. we called each family to ask about tech access, encourage them to keep working on online work, do a quick wellness check in and encourage students to reach out to me if they need help.
I also sent emails with wellness tips to all students too.
How are counselors taking care of their seniors. Senior parents and students are so anxious about their end of the year.
@ iphone how many students do you have in your building?
our tech director said he could not get district hot spots until July.
Any ideas for middle school?
Is anyone doing virtual school counseling lessons? What program are you using
can we mute everyone??
Direction from administration for virtual meetings - Zoom is not FERPA or HIPPA complient.
Mute your microphones!
For confidentiality purposes, are you using doxy.me or some other format to counsel students?
Our district SEL team have developed lists of students that were high risk before we left and made calls to them. We have to turn in a log every Friday.
we set up google voice also
My school uses Class Dojo to communicate with the students. I will share information and video messages via. Our district is suggesting use of Outlook Teams.
My problem with *67 is many phones will not pick up w/o caller ID
Is there anyway a call in could be created where kids in need could be able to contact a school counselor if they need to talk to one using google voice? What are the ethics around it?
everfi has free virtual lesson, planning to use google classroom and record lessons to post
Rob Grams - same problem will not answer block calls, although google voice has helped
Rob, that is true with *67, so when no one answers I leave a message saying that I will call back on a certain day at a certain time. So far that has worked for me.
I’m getting phones that will not even accept the call without ID - I have to unblock to even get voicemail
If you have a set up google number it will call your phone if someone uses that number to contact you but will tell you that it is your google voice number calling and not your phone number so you know where to draw your personal boundries.
Has anyone received guidance from administration regarding Section 504 meetings? I have one up for re-evaluation/renewal in May.
I’m wondering about best practice for handling behavior during virtual sessions. I want to offer some virtual groups but if someone is inappropriate in some way, how would that be handled. any thoughts?
Our district has directed us to continue to complete the 504 meetings via Skype for Business. I've already attended 4 IEPs this week as well this way.
What grade level do you serve Elizabeth?
That was everphi?
Is Skype confidential enough for 504 planning?
Could schools not invest in a platform that is HIPPA compliant to be able to set up virtual counseling that could be used even over summer? I am currently training on Tele - Health and I think it could work, or are we only allowed to do just informational lessons and chats
Skype for Business is confidential.
I believe we are held up to FIRPA & not HIPPA
Is anyone concerned about moving forward with these online materials, when some families will have no internet access? Do we need to worry about marginalizing this population who rely on the paper/pencil packets to access school?
Spectrum and Infinity are offering free internet for low income
might anyone be willing to share a sample google classroom?
That is really my concern too Kathy. School itself is becoming part of the event gap where only certain kids can access it.
Yes we were told to not contact student yet..
In addition to a virtual career day, we are hoping to also offer a virtual college fair. Has anyone hosted anything like this before? If so, what has this looked like?
my admin wants me to video my meetings with elementary students. what do you guys think about that?
FERPA vs HIPAA & school counselors: https://www.schoolcounselor.org/school-counselors/legal-ethical/faqs-virtual-school-counseling-ethics
Yes. that is a perfect place for that information.
FERPA vs HIPAA
I reach out to all 450 of my students 9th and 10th and who ever responds I interact with
I log them both ways
if you would normally check in with every student, continue that. if you would normally check in on at risk kids, continue doing that.
how is everyone "checking in" phone call ? email?
any elementary counselors here? i feel like this might look a little differnent with them compared to hs ms students?
yes that's my question as well.
We were told to wait to see what format the district wants to us to use to reach out to students.
I agree - I will steer us toward ES and MS
Is Facebook Messenger and acceptable way for counselors to communicate with Parents and/or students? This is how most of my people wish to communicate...
We have a district crisis team. We have already met virtually twice over these 3 weeks.
I set up a professional Facebook page to connect with families and post resources
I'm an elementary counselor who works primarily with K-2 students. While I need to confirm this with my admin, I plan to use google voice/hangout to reach out to parents of my high needs students.
I am Elementary, I am reaching out by phone and then email to parents that I have previously used email with.
Michelle - I am elementary and I have just made wellness calls with google voice. I wish my district could adopt some kind of virtual platform.
Yes, we are working on colloboration between community partners on how to respond to crisis and grief. We had a parent suicide yesterday.
Do to everything being "shut down", are you all finding that your referral providers are not available?
We created a document for teachers that outlines next steps, includes phone numbers, etc. to follow when interacting with students in crisis. Next week we are scheduled to meet to create a mental health resource list.
Also, wondering if anyone is using a posted referral to counselor form that is available to parents and students?
yes - i had a student in crisis and they would not see him. cancelled his appointment and he was suicidial
Anyone else here in Detroit? are using google hangouts? how?
i think i'm going to do a google form for parents to reach out to me
Harbor Oaks is still open and seeing patients. Macomb Crisis Center is another resource for suicidal student.
Our local community mental health is still offering crisis counseling services. I have also heard from a couple private providers who are offering on line
Thank you Tim
I have a private practice at Advanced Counseling and we are open for referrals, we are doing virtual appts.
Wayne county mobile stabilization, the guidance center, new Oakland all still open
I get several referrals from teachers
gotta learn that one - Scheduling Evens
Michelle - I like your idea
What do private practices use for virtual appointments?
great question Alecia!
is it possible to set up a Google drive with resources, lessons, templates, other helpful suggestions we could all have access to?
private practices likely use doxy.me, gurveo or cyph
In private practice we have been given permission to use Zoom, googlehangouts, primsy,
Typically in Private Practice we use our Electronic Health Record to do telehealth sessions. However, since this is a remarkable situation, the insurance companies have relaxed HIPAA requirements so we are now allowed to use Zoom, Facebook live and whatever is available.
some of our local therapists in Kalamazoo/Portage are using the Therapy App and one reached out to me: Therapy App is HIPAA and FERPA compliant. It is a multi-platform system, meaning clients can access their therapist/counselor through a Chrome browser on a computer or laptop, and through the mobile app offered through the App Store and Google Play. The person who created this is connecting with me next week to see how school counselors might be able to use this for free during the school closure.
This seminar talks about the various platforms used by private practice. I’ve only seen about 1/4 of the presentation so far but it looks good. msg below was sent by our local counseling assoc. video & materials can be downloaded or streamed This training normally costs $439 and is now free to counselors. Go Becky Moon
Basic is free for everyone, but not secure
Zoom is free for 40 minute sessions
We aren't supposed to use our personal phone.
Yeah but we have to get our districts approval to use a platform right? Is this more for us to advocate with our district? I agree with DaShawn
How are people calling families?
Roxanne - Google Voice
I use a google voice number on my cell/laptop to call families, we have an "all call system that robo calls parents each week that we've been using all year. My admin is concerned that all teachers/ staff needs to use the same systems or tech so we don't confuse student/ families with constant switch. We thought about a car parade but not every kid has access to transportation.
could we do an elementary meet?
I like that...elementary meet!
A place to share resources across the state.
That's a great idea. A High school specific meet
Middle school also!!
can we do a middle school meet
elementary/middle school meet?
SEL and Career Lessons virtual
Guiding us on how to advocate with our district to get a virtual platform, especially in Detroit
how about self-care for us :)
career virtual was good to have
Other ideas to include in Google Classrooms
Can we discuss alternative strategies for meeting the needs of students without consistent internet access? Graduation/ Advancement for students who were struggling when we left school?
yes, working on virutal lessons and videos for elementary students
We have not done scheduling in our middle school yet for next year, Just wondering how other schools plan on getting course requests from students virtually?
Continue to update us each week with the new ideas and what everyone is doing. Through email or zoom.
I already do a lifeskills and career exploration in google classroom
This has nothing to do with the COVID 19 closures but I am finding that fulfilling the new career, college ready, military credits difficult to fill due to a lack of offerings.
How are HS counselors dealing with transcripts, credits? Are you continuing grades or stopping grades? Especially seniors?
Yes! Janette we have not touched scheduling for next year!
Janette what software do you use for scheduling?
also 5th graders going to middle school without a usual goodbye and same with 8th graders leaving middle school--what can we do with them?
Ideas to celebrate 8th graders graduation.
we did a google form to select classes for next year. about 60% success
Maybe a google survey for student course requests? Or a mail-home document (if that doesn’t raise germ/contamination issues)?
Topic: Looking ahead to our return to school...students returning with no closure to this year
As of right now, we are considering grades done for seniors as long as they are in good standing. If they need a class to graduate, and they have a failing grade, they have to do the work put out by teachers. We haven't discussed the lower grades in depth yet.
Does anyone have input on using Xello vs Naviance. We have Xello and I am not as happy with it as I was with career cruising. We are up for renewal.
I'd love to see the first week of school be the time to say good bye
more than a day
Do we have access to the training that you did with the national orgainzation
Insight on how to complete EDP's this year
I'm sorry have to sign off.
other option for scheduling: students can come in week before school to do scheduling - have an open-house where you do scheduling, get lockers, etc
Same with me!!
Michigan Virtual High School did offer a military course for 5 hours. It did cover the 5 hours required for military. The course had good resources and the format was easy to follow.
temporarily suspended for how long????
I took the course and the SCECHS have already been uploaded for me.
As middle/ elementary we are struggling with college SCECHS
So MANY of the offerings do not pertain at all to elementary!YES thank you!
anyone hear if evaluations are still being done this year?
Thanks for offering this today--very valuable!!
ASCA U is very helpful and packed full of relevant information!
Need to sign off.
Thank you for info sharing! I am new to the group. Hope to join again. firstname.lastname@example.org
bmoon - could you keep us updated on using the therapy A
I need to leave - thank you!!
Yes - similar here. Our admin has done a good job of letting community know how hard teachers / counselors are working behind the scenes - mention in weekly newsletters
Yes, no relaxation at all! Great to lean on each other♡
Thanks for getting us together. Maybe we could do this again next month. I'm not sure if you already planned to do this.
